"IT Waffle Meetup" Event Rules

Every person has the right to be at the "IT Waffle Meetup" event (hereinafter – Event) only if they agree to these rules and follow them.

• By entering the event venue, you agree that if you are photographed or filmed, you allow the publication of your image in the press, on the internet, or in other media, including the possible use of the image in the event's promotional materials in the future, in accordance with the Event's Privacy Policy, which can be found as an appendix to these rules.
• At the event venue, you must follow all instructions given by the event organizers.
• In case of non-compliance with the event rules, the organizers have the right not to allow the attendees into the event or to ask them to leave if the organizers believe they could interfere with the event or endanger their own and other attendees' safety.

The organizers are not responsible for:

• injuries sustained by attendees during the event – be careful, do not overestimate your abilities, and protect yourself;
• damage to personal belongings;
• lost or stolen items – we recommend not bringing or leaving important or expensive things at the event;
• the event organizers have the right to change the event program without prior notice.

It is forbidden to bring to the event:

• weapons, explosives, etc.;
• drugs;
• bulky items;
• other items that may endanger the convenience or safety of other attendees (knives, gas cylinders, glass items, sharp items, etc.).

There is no provision for handing over prohibited items to the event organizers for storage.

At the event, it is forbidden to:

• use narcotic substances;
• minors are forbidden to consume alcoholic beverages;
• film and make sound recordings without prior coordination with the event organizers;
• disturb other attendees with your behavior or endanger their safety.

Privacy Policy

This privacy disclaimer defines how the "IT Waffle Meetup" event processes your personal data. Please read this Privacy Policy carefully to understand why data is collected and how it is used.

What kind of information we collect from you:

• identification data (name, surname);
• contact information (phone number and email address);
• your images (photos and videos) during the event;
• financial information (in case of invoicing);
• occupation and held position.

Legal basis and purposes of data processing:

The data is necessary to ensure your participation in the "IT Waffle Meetup" event and to fulfill the mandatory requirements of the legal acts of the European Union and the Republic of Latvia, and certain data may be collected based on your consent and our legitimate interests for the following purposes:

• to provide answers to any of your information requests and to ensure effective communication;
• for event organization and promotion;
• to inform you about events, activities, publications, and services that might interest you;
• for statistical purposes to analyze indicators that help us plan events;
• for the coverage of the "IT Waffle Meetup" event in accordance with the "Images and videos" section below.

Images and video:

You understand that the "IT Waffle Meetup" event is a public event and that the event can be broadcast on television, filmed, recorded in other ways, and photographed, and all such actions can capture your participation in the event. By participating in the event, you agree to grant us unlimited rights to use such photos and recordings for any reasonable purposes, including, but not limited to, publication, placement, sale, and distribution in movies, television, print media, the internet, publicity materials, or any other new media (for the sake of clarity – also in the future).

Data retention period

We will store your data for as long as it is necessary to:

• carry out the "IT Waffle Meetup" event;
• protect our interests in case of complaints and claims that could be filed against us;
• fulfill the requirements of the legal acts of the European Union/Republic of Latvia.

Usually, we store your data for ten years from your last participation in the event.

Data transfer

We may transfer your data to third parties when it is necessary during the organization of the "IT Waffle Meetup" event, or when determined by regulatory acts, including, but not limited to:

• an insurance company, upon the occurrence of a professional liability insurance case, if a claim is brought against us;
• a sworn law firm providing us with legal assistance in cases of defending our interests;
• law enforcement agencies in cases strictly determined by legal acts.

We will not transfer your data to third parties for marketing purposes unless you have consented.

Data security

Your data will be stored on secure servers, applying all reasonable technological and organizational measures available to ensure against unauthorized access. Whenever possible, any identifiable data will be encrypted or minimized.
